Hours: Full-Time

Salary Range: $60,000-$65,000

Y2Y Network is building a movement of student-led shelters to interrupt cycles of homelessness for young adults, while leveraging university resources to address the reasons why they become homeless. At Y2Y Harvard Square, our pilot site, we employ a youth-to-youth model to provide a safe and affirming environment for young adults ages 18 to 24 experiencing homelessness. Y2Y guests work with service providers, other youth experiencing homelessness, and student volunteers to create sustainable pathways out of homelessness and develop skills for long-term success. Y2Y provides opportunities for both guests and volunteers to become the next generation’s leading advocates for youth-driven solutions to homelessness.

 

Y2Y Network is at a critical inflection point, transitioning from operating a well-regarded and impactful shelter in Harvard Square to a nation-leading organization which implements a youth-driven, community-centric approach at scale to interrupt a generation’s cycle of homelessness before it begins. The Operations Manager will oversee a set of critical operational, administrative and financial functions to support the Y2Y Network team. This role will focus on building internal systems and managing operations, information technology, human resources, organizational infrastructure and policy, internal communications systems, productivity systems, and certain aspects of finance and financial reporting.

Key Responsibilities and Essential Job Functions

Operations and Administration

  • Prepare internal operations for growth, develop infrastructure to facilitate maximum organizational impact

  • Oversee electronic file storage and information technology/ security

  • Seek out, identify and integrate systems that increase team effectiveness and productivity, and ensure the team is trained and aligned on their use. 

  • Manage software platforms including Google Workspace, Asana, Slack, Docusign, and others.

  • Manage insurance policies: Oversee insurance policies related to Y2Y’s workforce; work with the legal counsel to ensure that all reporting requirements are met and that policy limits align with organizational risk

  • Maintain updated website presence (Wix)

 

Human Resources

  • In collaboration with the Associate Director, further develop Y2Y Network’s human resources and administration, enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting.

  • Develop and implement hiring practices, post roles, track candidates, arrange interviews

  • keep organizational policies up to date

  • Manage our Professional Employment Organization

  • Handle weekly and bi-weekly payroll, including collecting and verifying timekeeping information and processing payroll

  • Execute employee onboarding and offboarding procedures

 

Finance

  • Manage organizational accounting and finance procedures: Oversee accounting, finance, forecasting, strategic planning, contract negotiations, banking relationships, partnerships compliance, insurance, audit preparation and management, and more

  • Manage financial systems relative to expense reporting, accounts payable, and revenue processing 

  • Manage our consultant-based finance vendor, Your Part-Time Controller, support in producing financials, facilitate and organize finance meetings, coordinate Finance Committee meetings, work with fund development to reconcile revenue to expenses, and conduct miscellaneous finance tasks

  • Prepare and manage budgets: Direct the development, preparation, and oversight of short-term and long-range plans/budgets; share up-to-date budgets and other financial information to the Development Team as needed; this includes budgets for particular grant opportunities, projects, etc.

  • Support the Development team in procuring grants (philanthropic, government, and otherwise) by providing relevant budgets, financial documentation, and other required documentation

  • Coordinate and lead the annual audit process, liaise with external auditors and the finance committee of the board of directors; assess any changes necessary.

  • Collaborate with PBHA finance team on annual processes

 

Job Specifications (Must Haves)

  • Dedication to ensuring that all young adults have a safe place to rest, grow and lead

  • 2-3+ years experience in non-profit operations or finance-related work

  • Demonstrated experience and excitement with creative problem solving especially in the context of a start-up or young organization

  • Clear commitment to diversity, equity, inclusion and belonging, and an understanding of the history of weaponization of data against marginalized communities (BIPOC, LGBTQ) and sensitivity to equitable data collection and reporting methodologies

  • Adaptability and responsiveness to changing programmatic conditions and policies

  • Problem-solving skills with systems thinking approach, the ability to find solutions, and address barriers to efficient data management 

  • Excellent listening and strong verbal & written communication skills

  • The ability to work as part of a team and comfort with collaborative decision making

  • Good interpersonal skills relationship building with team members and external partners 

  • Be self-driven & pro-active

  • High level of integrity

  • Commitment to young adult and student development 

Good to Haves

  • Prior accounting experience 

  • Prior experience coaching or mentoring students or youth

Salary & Benefits
